When choosing a conference venue for your business seminar you will likely have some criteria in mind that you want met prior to signing. And with that looming in the forefront of your mind, it is easy to overlook other important factors that you probably should investigate. These are little things that may be easily missed until you have the group come in and someone starts complaining! It is important that the needs of your attendees are met as much as possible and it’s the little things that make such a big difference. While a Sunshine Coast Conference Centre does take a lot of the guesswork out of your decision, you may want to peruse this checklist to ensure that everything is in order prior to your event.

Location

As they say, location is everything. As you plan your business seminar, you want to keep in mind where your attendees are coming from, how far they will have to drive or, if flying in, how close the venue is to the nearest airport and is it easy to get to. If you have elected to hold the seminar away from the workplace, which means it is likely some distance from your location, requiring your attendees to travel, then you want to make sure that there are hotels nearby.

Transportation

If your attendees are driving in, problem solved. However, if they are flying in they are going to require some type of transportation to and from the conference centre. Some hotels will run a shuttle to various areas and your chosen conference centre may be one of them. If not, you may be able to set something up with the hotel for your event. Public transportation is another option. Larger cities usually have pretty good subway, bus, trolley and shuttle services. Check the city’s public transit website prior to booking to ensure that your attendees actually have transportation once they arrive.

Capacity

As you research your venue, keep capacity in mind. Have a fairly solid head count of attendees before you book so you don’t wind up with too many people in a too small space. You want to be sure that your venue can handle the number of attendees you expect. Don’t assume – ask.

Facilities

Your Sunshine Coast conference centre is more than just a big room. Your venue should be able to accommodate most of your needs when it comes to your business seminar. Speakers will need podiums, microphones, projectors, screens, visual aids, sound among other things. Take inventory of your seminar needs and present them when booking to make sure that there are no surprises once you are there and ready to start. Seating, lighting, break-up rooms for smaller meetings or workshops and food should also be considered.

Support

Events rarely go as planned and when problems arise, it is nice to have a conference coordinator on site to address them. They can help you from selecting your venue through planning your business seminar through the event right down to the time everyone goes home.

Budget

This is often the determining factor for just how much or how little an event you will have. Take a head count and keep in mind the cost that is allocated for each attendee, balancing that against the total seminar cost. This will give you some pretty clear guidelines for venue selection.
